Responsibilities

Performs complete administrative and secretarial functions for the top executive and the department. Specific duties and responsiblities include the following: 

 

  • Performs complete administrative secretarial functions for the top executive. 
  • Assists the executive with planning, scheduling and organizing the affairs of the department. 
  • Prepares correspondence, answers telephones, and performs other administrative duties as assigned. 
  • Prepares management presentation materials and helps prepare top executive for important internal and external meetings, speeches and events.
  • Completes scheduling of meetings as requested by executive and other department members. Maintains calendar of appointments, meetings etc.  Makes appropriate arrangements/adjustments as necessary.  Coordinates travel and hotel reservations.
  • Prepares expense reports and other financial reporting for the executive.
  • Screens telephone calls, mail and visitors.  Answers questions, furnishes information or redirects requests as appropriate to assist in supervisor's time commitments.
  • Exercises discretion concerning schedule changes, changing priorities and meeting interruptions.
  • Supports the top executive in managing in person meetings of the department, special events and budget/invoicing matters.
  • Handles highly confidential matters.
  • Provides some discretionary support to the direct reports of the top executive.
  • Interprets and adapts guidelines, practices and policies.
  • Telephone relief for others in the area as necessary.
  • May supervise or delegate duties. 
  • Handles highly confidential matters. 
  • Assists with meeting department goals to provide timely and accurate information to staff and senior management.
  • Serves as business and operations manager for the department.

Qualifications

  • High school diploma or GED, college degree preferred.
  • 6+ years experience in a secretarial/administrative assistant capacity.
  • Must be able to think independently and have the ability to handle multiple priorities.
  • Excellent verbal and written communication skills.
  • Must be able to read/write fluently in Spanish in addition to English.
  • Advanced skills in presentations, spreadsheets and MS office
